GuideTake Privacy Policy
Effective date: October 14, 2026
GuideTake helps teams capture workflows, create interactive guides, translate and narrate content, publish Help Centers, and measure how published guides are used. This policy explains what information GuideTake processes and why.
Information we process
- Account and workspace information: name, email address, authentication credentials, profile image, workspace membership, roles, and invitations.
- Content you provide: guide steps, screenshots and other uploaded media, forms, Help Center content, translations, voiceovers, voice samples for cloned voices, comments, and settings.
- Browser extension captures: while you record, the extension captures screenshots or short screen videos, the page address and title, and the click position and element details used to place each step's marker.
- Guide visitor information: anonymous or pseudonymous guide views, progress, completions, reactions, CTA interactions, and form responses submitted by visitors.
- Help Center visitor information: when a Help Center uses password, IP, custom authentication, or SAML access, the information needed to check access, such as the visitor's IP address or the identifier returned by the workspace's identity provider, and questions visitors send to Ask AI.
- Billing information: Stripe processes payment details. We receive the plan, subscription status, and limited billing details, not full card numbers.
- Technical information: IP address, device and browser information, request logs, cookies, and security events needed to operate and protect the service.
- Support information: messages and diagnostic details you choose to share with us.
How we use information
We use information to provide and secure GuideTake, authenticate users, keep workspace data separated, process uploads, publish guides, generate analytics, respond to support requests, and improve reliability. We do not sell personal information.
AI, translation, and voice services
When someone uses an AI feature, the relevant content is sent to the provider that performs it:
- Text features (rewriting, polishing, titles and summaries, FAQ drafts, translation, and document import, including text recognition in scanned pages) and Ask AI questions sent by Help Center visitors go to OpenRouter and the selected model provider.
- Voiceover scripts go to Fish Audio. Voice cloning sends the uploaded voice sample to Fish Audio to create a private voice model.
- Video-to-Guide sends the video's audio to Groq for transcription and selected frames to OpenRouter.
- Automatic redaction sends the screenshot to Google Cloud Data Loss Prevention to find and mask sensitive information.
On Business plans, a workspace can connect its own OpenRouter, Fish Audio, or Groq keys; requests made with those keys are also governed by the workspace's agreement with that provider. Do not submit sensitive personal information to these features unless you are authorized to do so. Provider handling is also governed by each provider's terms and privacy policy.
Service providers and transfers
We use service providers for hosting, authentication, database services, object storage, content delivery, email delivery, payment processing, monitoring, AI processing, and text-to-speech. They process information only to provide their contracted services. Processing may occur outside your country; where required, we use appropriate contractual and legal safeguards.
Cookies
GuideTake uses essential cookies for sessions, security, locale, and theme preferences. Public guides may store a pseudonymous visitor identifier so that views and progress can be counted without requiring an account.
Retention and deletion
We keep information while an account or workspace is active and as needed for security, legal obligations, dispute resolution, and backups. Workspace owners can delete content from the product. Account holders can request access, correction, export, or deletion through the account settings or the support channel shown in the application. Some records may be retained where law requires it.
Security and responsibilities
We apply technical and organizational safeguards appropriate to the service. No system is completely secure. Workspace owners are responsible for choosing who can access their workspace, configuring published content, and ensuring they have permission to upload and process personal information.
Images, videos, and audio in guides are served from a content delivery network. Anyone who has a media file's address can open that file, even when the guide itself is restricted, and restricting a guide later does not withdraw copies that were already downloaded.
Children
GuideTake is a business service and is not directed to children under 13, or the higher minimum age required in their jurisdiction.
Changes and contact
We may update this policy as the service evolves. Material changes will be communicated through the product or another appropriate channel. For privacy questions or requests, use the support channel shown inside GuideTake or contact your workspace administrator.
